1. Information we collect
Account information. Your name, email address, phone number and the role you use on the platform (tenant, landlord, agent or administrator). Used to create and secure your account, to display your public profile name on listings, and to contact you about your account.
Phone verification. Your phone number and the one-time codes we send to it, together with a record of when codes were requested. Used to confirm you control the number, to reduce fake accounts, and to rate-limit abuse.
Selfie images. Photographs of your face captured in the app during identity verification. Used only to check that the person creating the verification is a real, present person and matches the identity document submitted.
National ID or passport images. Photographs of an identity document you choose to submit. Used only to confirm your identity for verification and anti-fraud purposes.
Live property photographs. Photographs captured in-app at the property during live property verification. Used to confirm that a listing corresponds to a real property and to support moderation review.
GPS coordinates and location accuracy. The coordinates recorded at the moment live property photographs are captured, and the accuracy reading (in metres) reported by your device. Used to help moderators judge whether a property is where the lister says it is, and to place listings on the map.
Verification results and badges. The outcome of a verification check (for example pending, approved or rejected), the date it was decided, and the badges shown publicly on your profile or listing. Badges are public; the underlying documents and images are not.
Listing and activity data. Property listings you publish, searches you run, listings you view or save, and unlock or messaging actions you take on the platform.
Payment data. See section 5 below.
Device and diagnostics data. Device type, browser, permission status, and error and diagnostic logs, used to keep the service reliable and to debug issues.
2. How we use your information
- Provide, operate and improve the marketplace, including search and location-aware recommendations.
- Verify identities and listings so that renters can trust what they see.
- Process and reconcile payments, credits, subscriptions and referrals.
- Send transactional notifications (verification status, payment updates, listing updates).
- Detect fraud, abuse and violations of our Terms of Service.
- Monitor system health and fix technical problems.
3. Who can see verification information
Selfies, identity documents, live property photographs and the GPS readings attached to them are not visible to other users. Tenants, landlords and agents cannot view another user's verification images or documents.
- Other users see only the outcome: a verification badge and, for listings, the moderated listing itself.
- Authorised ZedNest administrators and moderators can review verification submissions in order to approve or reject them. Identity images are held in private storage and are opened by administrators only through time-limited, access-controlled links.
- Access is enforced by account authentication and database row-level access rules, and administrative and moderation actions are recorded in an audit log.
- Service providers that host our infrastructure may technically hold the data on our behalf, under their own data-processing obligations.
4. Location information
Discovery location. With your permission, we use your approximate location to show nearby properties and to rank recommendations. This is used while you browse and is not published to other users.
Verification location. During live property verification, the GPS coordinates and accuracy reading at the moment of capture are recorded and stored with the submission, so moderators can compare them with the stated address. The listing's general location is shown publicly; the raw capture readings are reviewed by administrators.
You can decline or revoke location permission in your browser or device settings. If you decline, nearby discovery and distance-based ranking will not work, and live property verification cannot be completed — listings that require it will not be able to obtain that badge.
5. Payment information
Payments are made through mobile money outside the platform, and are then matched to your account. We receive and store the payment reference you submit, the transaction identifier reported for the payment, the amount and currency, the mobile-money method used, the payer phone number where you provide it, and the status of the payment (for example pending, approved or rejected).
We do not collect or store mobile-money PINs, passwords or any other payment credentials, and we do not store card details.
6. How we share information
We do not sell your personal information. We share it only in these cases:
- With other users, only what you choose to publish (for example your listing details and display name). Contact details of listers are revealed only when a seeker unlocks them through the platform.
- With service providers that help us run the platform — hosting and application infrastructure, database and file storage, mapping and geocoding, mobile-money payment processing and reconciliation, and messaging or notification delivery — each bound by their own data-processing obligations.
- Where required by Zambian law, regulation or lawful request from authorities.
7. Data retention
We hold different categories of information for different reasons:
- Account information — kept while your account is active.
- Verification information (selfies, identity documents, live capture photographs and their GPS readings) — kept for as long as needed to complete the check, to keep the resulting badge trustworthy, and to investigate fraud or disputes connected to it.
- Transaction information (payment references, transaction identifiers, amounts and statuses) — kept for accounting, reconciliation and dispute-resolution purposes.
- Operational records (audit logs, diagnostic and error logs) — kept to maintain the integrity and security of the platform.
We have not fixed a published retention period for each category. Where a specific statutory retention period applies under Zambian law, that period governs. If you need to know how long a particular record about you is held, contact us and we will tell you.
8. Your rights and choices
- Access or update your profile information from your dashboard.
- Ask us for a copy of, or a correction to, the personal information we hold about you.
- Request deletion of your account and associated personal data by contacting hello@zednest.app.
- Control location and camera permissions in your browser or device settings.
- Opt out of non-essential communications where an unsubscribe or notification setting is provided.
These are the choices ZedNest currently offers. Any additional statutory data-protection rights you may have under Zambian law apply in addition to them, and nothing here limits those rights.
9. Account deletion
When you ask us to delete your account, we deactivate it and remove or anonymise your profile and listings from public view. Some information may need to be retained after deletion, including:
- Transaction and payment records needed for accounting, reconciliation and dispute resolution.
- Audit and moderation records of actions taken on the platform, which are append-only.
- Records needed to prevent fraud, abuse or repeat violations, and to protect other users.
- Anything we are required to keep by law or by a lawful request from authorities.
Retained records are kept restricted to authorised administrators and are not used to market to you.
10. Children
ZedNest is not directed at children under 18, and we do not knowingly collect their personal information. If you believe a minor has created an account, contact us and we will remove it.
11. Changes to this policy
We may update this policy as the product evolves. Material changes will be signposted on this page with a revised “Last updated” date. Continued use of ZedNest after a change takes effect constitutes acceptance.
